How do I write a synthesis as the chair of the Manuscript Committee?

Updated on

You are both member and chair of the Manuscript Committee.

As member of the Manuscript Committee, you first have to register an assessment yourself in Hora Finita (see the manual linked below).
As chair of the Manuscript committee, you must also write a synthesis of the assessments that all members of the Manuscript Committee have submitted in Hora Finita. In addition, you must register the final assessment of the manuscript in Hora Finita.
The synthesis and the final judgment will be forwarded via Hora Finita to the dean of the faculty.

When the last member of the Manuscript Committee has registered the assessment in Hora Finita, you as chair of the Manuscript Committee have access to all assessments given by the members. At that moment, you will receive an e-mail, in which all assessments of the members of the Manuscript Committee are listed.

You find an explanation how to assess the manuscript in the manual:

As chair of the Manuscript Committee you don’t have to check the deadline of five weeks of assessing the manuscript. The Faculty PhD coordinator takes care of this.

As chair of the Manuscript Committee, you have received an e-mail containing the assessments of the members of the Manuscript Committee. Following the link in this e-mail, you are able to write a synthesis of the assessments in Hora Finita and give the final assessment.

Click on the link "Final assessment".

Step 2: log in with Surfconext (for internal RU-/UMC-employees), or with a unique e-mail code (for external members with a HF-account)

You find more information about the Hora Finita log in process in the following manuals:

Step 3: view all assessments given by the members of the Manuscript Committee

At this page, you can download the manuscript again. You can also see in a short overview how many members of the Manuscript Committee have approved or rejected the manuscript.

Lastly, you can see suggestions/errata/feedback documents if applicable. If any, suggestions/errata are visible for both the 1st PhD supervisor and the PhD candidate, including the name of the committee member. The feedback document is only visible to the PhD candidate (not PhD supervisor).

Step 4: give the final assessment of the manuscript and write a synthesis

In Hora Finita, you write a synthesis based on the given assessments. You also give the final assessment, an approval or rejection, on behalf of the Manuscript Committee.

Step 5: click on the "Submit" button

The final assessment with the synthesis are now submitted to the dean of the faculty via Hora Finita. After the dean has formalized the decision of the Manuscript Committee in Hora Finita, those involved will be notified of the approval or rejection by e-mail.
