How do I complete a checkpoint?

Check if all the information in the checkpoint is in order

Log in to Hora Finita and navigate to the checkpoint page.

  1. The submission date will be automatically filled in with today's date.
  2. Check the result and checkpoint information.

The checkpoint result is given by the PhD supervisor. Different checkpoint types have different types of results associated with them (i.e. go/maybe/no go). Both the PhD candidate and the PhD supervisor can add comments under the result to justify the result.

Check if all questionnaires associated with the checkpoint have been completed.  

If a checkpoint has been completed, the completion date will be filled in under the 'completed' column of the questionnaires table.

Check if all needed documents are uploaded to the checkpoint (if applicable).

Submit the checkpoint

At the bottom of the checkpoint page you have 4 options:

  1. Click on 'Save' to save the checkpoint and go back to the previous page.
  2. Click on 'Save' to save the checkpoint and stay on the checkpoint page.
  3. Click on 'Submit checkpoint' to submit and approve the checkpoint result.
  4. Click on 'back' to go back to the previous page.

 

After submitting a checkpoint an approval process may be started depending on your Faculty/Graduate School and the type of checkpoint. The checkpoint result will be sent via email to each of the people involved in the process who can then approve/reject the result. Who is involved in the checkpoint approval process depends on the work preferences of your Faculty/Graduate school.

Option 1: Checkpoint submitted

If the checkpoint has been correctly submitted, you will see the following message at the top of your dashboard:

Option 2: Failed submission

If there are questionnaires not yet completed or information is incorrectly filled in or missing, you will be unable to submit the checkpoint for approval and you will receive the following message highlighting why the submission failed:

If you receive this message please review the checkpoint and complete/update any missing information or not yet completed questionnaires.

Checkpoint completed

Once a checkpoint has been completed you will receive an email informing you of this along with a reminder to schedule the next checkpoint (3 months before it is due).
