If you use the portfolio module you will, as Graduate School Coordinator, periodically receive a reminder email containing all the activities/courses from PhD candidates that have yet to be approved along with links leading directly to these activities.
You can navigate directly to these activities by clicking on their corresponding links in the email.
Alternatively you can also Log in to Hora Finita and navigate to a specific activity/course by:
1. clicking on the 'Progress' tab,
2. followed by the 'Training activities' tab.
There you can search for the specific course/activity in the overview page.
Once you have found the activity/course, click on it and you will be taken to it's page.
How do I approve a course or activity?
Once you have made sure that everything is in order and all the necessary information is correctly filled in, you can choose to to approve or reject the activity/course.
1. As Graduate School Coordinator you can check the Overrule checkbox if you wish to manually overrule the calculated hours. You can also change the number of hours.
2. Click on the 'Approve' button at the bottom of the page if you wish to approve the activity or course.
After you have clicked on approve you will be taken to the overview page where you will see the following message:
Once you have approved the activity/course the PhD candidate will receive an email informing them of the activity/course approval.
How do I reject a course/activity?
If an activity/course has not been correctly filled in or is missing information you may choose to reject the activity/course.
To reject the activity/course scroll down to the bottom of the page and click on the 'Reject' button.
You can add your reason for rejecting the activity in the comment section. The PhD candidate can view your comments in the activity/course page after you have saved, approved or rejected the activity/course.
After you have clicked on 'Reject' you will be taken to the overview page where you will see the following message:
If the activity/course has been rejected the PhD candidate will receive an email informing them of the rejection. They can then fill in the activity again correctly or create a new activity/course and re-submit it for approval.
